Order from customer to warehouse without re-typing

A customer inquiry arrives, fields go to the system, the warehouse gets a complete order. Nobody re-types the number twice.

A customer inquiry arrives by email. Someone opens the message, re-types the number, quantity, and address. Checks if the customer exists in the system. Enters the order into ERP. Waits for confirmation. Then the warehouse gets a sheet — or an email — with data someone already typed once.

This is one workflow. We take it as a whole.

Five steps

  1. Entry. The inquiry enters the system the moment it arrives — from email, form, or B2B platform.
  2. Extraction. We pull fields: customer number, product, quantity, address, deadline. If the customer is in the database, the system recognizes them.
  3. Uncertain field. If something is missing — for example the product isn’t in the catalog — it goes to a person. The rest doesn’t return to manual re-typing.
  4. Save. After approval, the order goes to ERP or WMS. The warehouse gets complete data.
  5. Visibility. You can see who the order is waiting on. When a person doesn’t respond, the task moves to a substitute.

What stays with the person

The person stays with decisions that can’t be reproduced from rules: unusual configuration, stock shortage, deadline negotiation. The rest — number, quantity, address, status — moves on by itself.

Why one workflow

We don’t build three separate processes for three entry channels. Email, form, and B2B platform are three entries to the same workflow. One scheme, one measurement, one substitute.

Order from customer to warehouse without re-typing the number twice. This isn’t a promise — it’s the structure of the process.
